Description
OverviewEpic Golf Club is seeking an experienced, polished, and highly connected Director of Golf to lead the strategy, development, and execution of exceptional golf experiences for our membership.
The Director of Golf is responsible for overseeing Epic's golf event calendar, securing access to premier private clubs and golf destinations, managing relationships throughout the private golf industry, and ensuring every event reflects Epic's standards of service, organization, exclusivity, and financial performance.
This position will oversee approximately 30 to 35 events each year at highly rated private clubs and bucket list golf destinations throughout the United States and internationally. The Director of Golf will lead all aspects of event planning and execution, including venue selection, contracting, pricing, website development, lottery administration, member communication, tournament operations, staffing, sponsorship support, budgeting, financial reconciliation, and post event reporting.
The Director of Golf will lead and support the Event Coordinator and Head Golf Professional while collaborating closely with Member Services, Accounting, Sales, Marketing, Sponsorships, and company leadership.
The ideal candidate is a PGA Professional with extensive private club and tournament operations experience, strong industry relationships, excellent leadership skills, and a service focused approach.
Experience Required
• PGA Professional designation required
• Minimum of five years of experience in private club golf operations, tournament operations, or a closely related leadership position
• Extensive knowledge of private golf clubs, golf event operations, tournament formats, handicapping, scoring, and member service
• Strong playing ability and a golf handicap that allows the candidate to credibly represent Epic with members and private club professionals
• Established relationships within the private golf industry strongly preferred
• Proven experience developing relationships with PGA Professionals, Directors of Golf, General Managers, club leadership teams, and other golf industry professionals
• Experience identifying, securing, and negotiating access to premier private golf clubs and destinations
• Proven experience negotiating, reviewing, understanding, and managing golf event contracts
• Experience managing event budgets, pricing models, pro forma reports, revenue goals, and Profit and Loss statements
• Strong working knowledge of Golf Genius or a comparable tournament management platform
• Experience creating tournament formats and managing pairings, handicapping, scoring, leaderboards, and results
• Experience managing employees, assigning responsibilities, and coordinating teams across multiple departments
• Experience building or managing event website pages and online registration information
• Experience administering member lotteries, waitlists, selections, and event related communication
• Strong written and verbal communication skills
• Ability to communicate professionally with members, executives, private club leadership, sponsors, vendors, and internal teams
• Ability to manage multiple events, deadlines, contracts, communications, and financial requirements simultaneously
• Ability to travel approximately 50 percent of the time, including weekends, domestic travel, and occasional international travel
• Ability to work full time from Epic Golf Club's Scottsdale office when not traveling
The successful candidate will be polished, organized, proactive, relationship driven, service focused, financially responsible, calm under pressure, and well connected within the private golf community.
Essential Responsibilities
Golf Event Strategy and Calendar Development
• Develop and manage Epic's annual golf event calendar, consisting of approximately 30 to 35 events each year
• Identify and secure premier private clubs and bucket list golf destinations that align with member interests and Epic's premium brand standards
• Maintain a strong understanding of where Epic members want to play and use member feedback, participation trends, and industry knowledge to guide event planning
• Balance event volume, destination variety, exclusivity, accessibility, financial performance, and perceived member value
• Prepare the event schedule, pricing, contracts, website content, registration details, and operational information required for quarterly event launches
• Acquire new golf venue relationships with a focus on highly rated and nationally recognized courses
• Identify opportunities to return to successful venues and develop long term relationships with host clubs
• Oversee the selection of golf courses, destinations, accommodations, and supporting event vendors
Event Planning and Execution
• Maintain direct responsibility for all aspects of Epic golf events from initial venue outreach through post event reporting
• Negotiate, review, understand, and execute contracts with private clubs, resorts, hotels, transportation providers, vendors, and other event partners
• Coordinate golf, lodging, food and beverage, transportation, gifting, registration, staffing, formats, pairings, scoring, sponsorship requirements, and member communication
• Ensure all events are organized and executed at a consistently high level
• Ensure event details, timelines, contracts, deadlines, and operational requirements are completed accurately and on schedule
• Create event formats that are engaging, appropriate for the venue, and aligned with the Epic member experience
• Oversee all Golf Genius operations, including registration, pairings, handicapping, scoring, leaderboards, results, and tournament communication
• Serve as the onsite leader and Master of Ceremonies when attending Epic events
• Manage staff assignments and clearly communicate the responsibilities of each Epic employee attending an event
• Lead pre event meetings and ensure all attending employees understand schedules, member needs, venue requirements, and operational expectations
• Occasionally play golf with members when space is available and participation supports the member experience
• Support corporate golf events and other experiences that may create membership, partnership, sponsorship, or revenue opportunities
Event Website Management
• Build and maintain event website pages for all Epic golf events
• Ensure event website pages include accurate information regarding dates, locations, courses, pricing, accommodations, schedules, inclusions, registration deadlines, cancellation policies, travel details, and member expectations
• Coordinate with internal teams to ensure website pages are reviewed, approved, and published in advance of quarterly event launches
• Maintain website accuracy as event information changes
• Update event pages with registration status, waitlist information, schedule changes, final details, and other relevant member information
• Ensure all event content is presented professionally and reflects Epic's premium brand standards
Lottery Administration and Member Communication
• Manage the full event lottery process from setup through final participant confirmation
• Establish lottery entry dates, deadlines, eligibility requirements, capacity limits, and selection procedures
• Track lottery entries and ensure member information is recorded accurately
• Conduct lottery selections in accordance with company policies and event capacity
• Manage selected participants, waitlists, cancellations, replacements, and final attendee lists
• Develop and send member communication before each lottery, including event launch details, entry instructions, deadlines, pricing, policies, and expectations
• Manage post lottery communication, including selection notices, waitlist notices, payment instructions, next steps, cancellation information, and follow up reminders
• Communicate waitlist movement and event availability clearly and consistently
• Ensure lottery results, participant records, and payment requirements are accurately updated across all applicable systems
• Coordinate with Member Services and Accounting to ensure member questions, payments, and registration details are handled promptly
Venue and Industry Relationships
• Build and maintain strong relationships with PGA Professionals, Directors of Golf, General Managers, club leadership teams, resorts, vendors, and other private golf industry contacts
• Develop new relationships that create opportunities for Epic to host future events at premier private clubs
• Maintain consistent communication with host clubs before, during, and after each event
• Ensure Epic fulfills all venue requirements and maintains relationships that support future access
• Represent Epic professionally and protect the organization's reputation within the private golf industry
• Serve as the primary relationship owner for golf venues and event related club partnerships
• Maintain detailed records of club contacts, event history, contract terms, preferences, and opportunities for future events
Team Leadership and Internal Collaboration
• Lead, manage, and support the Event Coordinator and Head Golf Professional
• Establish clear priorities, responsibilities, timelines, and performance expectations
• Conduct regular event planning meetings and ensure accountability across golf operations
• Provide guidance, training, and support to employees attending or assisting with events
• Review workloads, deadlines, and event responsibilities to ensure appropriate coverage
• Collaborate closely with Member Services, Accounting, Sales, Marketing, Sponsorships, and company leadership
• Support the Member Services team with golf related questions, venue information, member requests, registration details, and event communication
• Support company leadership with golf industry insight, event strategy, and new venue opportunities
• Assist with membership sales opportunities that may be created through golf events, corporate events, or venue relationships
Financial Performance and Revenue Management
• Establish and manage pricing for all Epic events using the company's event pricing calculator
• Ensure events are structured to reach capacity and achieve established profitability and revenue goals
• Monitor registration pace and work with internal teams to support event participation
• Maintain responsibility for the financial performance of each event
• Manage event deposits, payment schedules, credits, minimum commitments, cancellation terms, and final balances
• Partner with the Accounting Manager to develop event budgets, pro forma reports, and final Profit and Loss statements
• Ensure all event revenue, expenses, deposits, credits, sponsorship contributions, and outstanding balances are accurately reported
• Review each event's financial performance and identify opportunities to improve pricing, participation, profitability, and operational efficiency
• Confirm each event Profit and Loss statement is complete, accurate, and fully reconciled following the event
• Maintain accurate documentation to support accounting checks and balances
Sponsorship and Corporate Event Support
• Support the Sponsorship team with event related sponsorship planning, agreements, and execution
• Coordinate directly with host clubs regarding sponsorship requirements, signage, products, gifting, displays, shipping, setup, and other deliverables
• Ensure venue restrictions and operational requirements are communicated to sponsors and internal teams
• Assist with sponsorship agreements as they relate to golf operations and venue requirements
• Ensure sponsor commitments are fulfilled professionally and accurately during Epic events
• Coordinate the ordering, shipping, receipt, setup, distribution, and return of sponsor related items
• Support corporate events, partnership events, and other golf experiences as assigned
Epic Cup and Tournament Operations
• Manage the season long Epic Cup points competition
• Maintain accurate points, standings, results, and member communication throughout the season
• Ensure tournament rules, handicaps, scoring procedures, and results are managed consistently and fairly
• Communicate event formats and tournament expectations clearly to members and staff
• Resolve tournament questions and scoring issues professionally and promptly
• Maintain accurate historical records for tournament results and Epic Cup standings
