Position Summary:
The Administrative Specialist III coordinates office operations, researches and prepares specialized reports, and assists in the development, implementation, and revision of administrative policies and procedures under the direction of the supervisor. This position operates in compliance with applicable state and federal regulations, as well as agency and institutional policies.
This position will cover the Department of Educational Leadership, Doctoral Program, and Teacher Education.
Duties & Responsibilities:
- Maintain calendar, tracking, and office databases.
- Maintains department files.
- Handles all the student traffic and day-to-day operations of office duties assigned.
- Provides fiscal support for the departments. This includes, but is not limited to, ordering and receiving goods, reconciling the department's P-Card with the budget, preparing budget statements, working with the grants office, ESFs, Taleo offers, EPAFs, travel for faculty, extra compensation forms, and GA staffing.
- Provides technical assistance, guidance, and information to internal and external stakeholders, vendors, and other customers by researching and interpreting federal and state laws and agency policies and procedures.
- Enter information/projects into university computer systems, such as Banner, Concur, Knowledge Base, etc.
- Serve as the travel delegate for the faculty
- Reviews operating departmental budgets and financial policies and procedures
- Monitors department budgets, reviews and approves expenditures, advises management of potential budget issues, and makes budget recommendations. Ensures the accuracy of financial data and produces financial and statistical reports for the assigned departments.
- Gathers technical information for monthly reports and studies and presents to the appropriate authorities.
- Performs other duties as assigned.
Knowledge/Skills/Abilities:
Knowledge of business and management principles involved in strategic planning, resource allocation, and human resources.
Knowledge of the principles and practices of fiscal management, including budget development, purchasing, and asset management.
Knowledge of the principles and practices of mathematics and statistics, research and analysis techniques and methods, work-related subject area, and computers and software applications. Knowledge of state and federal laws, rules, and regulations, and agency/institution policies and applicable laws.
Ability to prepare budgets and monitor expenditures.
Ability to prepare and present oral and written information and reports.
Ability to interpret and apply laws, policies, and procedures.

Preferred Qualifications:
- The formal education equivalent of an earned Bachelor's Degree in general business, finance, or a related field
- Accounting knowledge preferred
Minimum Qualifications:
The formal education equivalent of a High School Diploma
One (1) year of specialized training in office management, business, or a related field
Two (2) years of experience in a specialized or a related field applicable to work performed
