Position Overview
The MNA Accounting and Grants System Manager oversees MNA’s daily accounting and financial management and maintains MNA’s foundation grant system, ensuring that grant applications and reports are submitted on time, completed and accurate. This position also assists with internal operations processes related to member renewals, benefits management and administration, insurance and contract management, and member technical assistance. The position requires superb organizational skills, excellent self-motivation, attention to detail every day, and someone who enjoys problem solving and helping others succeed.
This position reports to MNA’s Executive Director and works closely with all members of the team and the Board of Directors’ Finance Committee. This is a full-time exempt position with a salary between $55,000 and $65,000. Work can be completed flexibly, including from home or office, with regular attendance periodically required at events and in the office. Some projects can be completed on a flexible, nontraditional time frame while others require being present during office or event hours. Travel to events may be required up to eight times per year.

Primary Functions & Responsibilities:
Accounting and Financial Management: MNA’s financials will be kept current, accurate, and will be integrated into organizational reporting and used for proactive planning and decision making. Manage all aspects of daily accounting processes, including accounts receivables, accounts payables, and monthly reconciliation between QuickBooks and MNA’s bank accounts.
- Maintain the general ledger and complete all required journal entries for complete and accurate financial statements.
- Ensure accurate coding of revenues and expenditures, including those requiring allocation across multiple classes and accounts.
- Manage timely and accurate payment of invoices with accounts payable and ensure payments are charged to the appropriate accounts.
- Manage payroll, payment of payroll taxes, and filing of all tax, benefit, and workers’ compensation reports required by federal, state, and local governments and vendors.
- Manage billing process for earned revenue, such as consulting and training requests, ensuring that invoices are sent and paid in a timely manner.
- Assist with compiling financial reports and reporting to the Board Finance Committee and the whole Board of Directors.
- Provide outside auditors with assistance and gather necessary account information and documents to support the annual audit and 990 filing.
Development and Grant System Management: MNA’s contributed income maintains at approximately 50% of total revenue and relationships with funders and donors are supported through consistent and proficient campaigns, applications and reporting.
- Grant Preparation: Gather information for grant applications and reports and collaborate with staff members to develop program goals, target outcomes, and budget presentations.
- Compile supporting information related to specific grant applications from outside sources as needed.
- Coordinate grant writing and timely submission process with other MNA team members.
- Grants Management: Track and support management processes for grant proposals, including maintaining current calendar of grant deadlines and associated progress report deadlines, grants outcomes and deliverables, and general grant records.
- Perform basic fund development administrative activities, including filing, data entry, maintaining a file system, and more.
- Coordinate contributed support accounting functions, including release from restriction and reconciliation of donations with QuickBooks.
Internal Operations and Member Engagement: Engagements with MNA members and the general public is professional, responsive, appropriate, and in furtherance of the mission. Assist with MNA’s member management processes, including leadership of MNA’s member renewal outreach and membership data entry and management.
- Assist the Executive Director with benefits administration processes, including enrollment and changes to MNA’s retirement program and enrollment and changes to health insurance and HSA programs.
- Assist the Executive Director with organizational insurance and contract management.
- Regularly respond to MNA member requests for technical assistance that fit within the position’s areas of expertise, such as financial management and grants systems.
Compensation Information
The salary range for this position is $55,000- $65,000 annually. Placement within the range will be based on experience and is non-negotiable outside this range, in accordance with MNA’s Compensation Policy.
The MNA team typicallyworksa 32-hour work week, with Fridays off and a rotating on-call person on Fridays. There are months in the year, including September, where we move up to a 40-hour week.
