ABOUT THE ROLE
In this role, youll play a key role in ensuring the smooth day-to-day operations of the firm. Working closely with the Director of Administration and Managers, youll coordinate essential administrative, onboarding, and office activities that keep our teams connected and productive. This is a hands-on role for an organized, proactive professional who thrives in a fast-paced environment and enjoys supporting others to achieve excellence in client service.
Administrative Support
Provide high-level administrative assistance to the Director of Administration, Administrative Manager, Office Operations Manager, HR Business Partner, and other firm leaders.
Coordinate business professional and attorney onboarding and departures, including I-9 processing, scheduling orientations, updating directories and maps, and preparing related materials.
Support new partner hire and onboarding processes, ensuring all tasks are completed accurately and on time.
Prepare and edit correspondence, reports, spreadsheets, presentations, and confidential materials with precision and discretion.
Schedule and organize departmental meetings, events, and trainings; prepare agendas and supporting documents.
Maintain office files, staffing and headcount reports, and ensure key documentation is accurate and up to date.
Coordinate business travel and expense reimbursements in partnership with the firms travel department.
Assist in planning and executing office events such as business professional appreciation week, social gatherings, and community initiatives.
Communications & Coordination
Serve as a central contact for internal and external inquiries, handling requests with professionalism and confidentiality.
Maintain the NY Office homepage on MoFo Connect and employee directories; communicate updates, new hires, and anniversaries to relevant internal channels.
Support internal communication efforts and coordinate with vendors and firmwide teams to ensure effective information flow.
Accounting & Budget Support
Process vendor invoices, check requests, and expense reports; monitor office-related budgets and reconcile P-card expenses.
Liaise with vendors and accounting to ensure timely payments and accurate financial tracking.
Assist the Director of Administration with budget preparation and special projects.
ABOUT YOU
- Four-year college degree preferred.
Minimum of five years of related administrative experience, or an equivalent combination of education and experience; experience in a law firm or professional services environment preferred.
Strong background in budgeting and accounts payable functions preferred.
High proficiency in Microsoft Word, Excel (including pivot tables), PowerPoint, and Outlook required; familiarity with Workday, Visio, ChatGPT, and financial management systems a plus.
Demonstrated ability to analyze data, identify trends, and clearly summarize findings.
Demonstrated accountability and ownership of projects, with a proactive, solution-oriented approach.
Strong organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain accuracy under pressure.
Excellent communication and interpersonal skills, with the ability to build trust and collaborate effectively across all levels of the firm.

Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.
New York salary range: $70k to $99k
