Position Overview:
The Project Coordinator plays a key role in supporting the successful execution of construction projects by providing administrative and entry-level project or engineering support to the Major Projects Group. This position is typically based on-site and helps manage documentation, procurement, financial tracking, and team coordination to ensure smooth project operations.
Key Responsibilities:
- Document Management:
- Upload, organize, and maintain project documents in accordance with company standards and project requirements.
- Support the preparation and submission of submittals and operation and maintenance (O&M) manuals.
- Coordinate updates to red-line and as-built drawings.
- Distribute and integrate Requests for Information (RFIs).
- Archive final documents and share relevant materials with team members.
- Procurement Support:
- Coordinate bid requests from clients and vendors.
- Prepare and track purchase orders, packing slips, and delivery receipts.
- Monitor equipment orders and track delivery timelines.
- Permit Coordination:
- Assist with the preparation and submission of permit applications for project-related work.
- Financial Administration:
- Support data entry and updates in the project financial system.
- Assist with cost tracking, job cost transfers, and close-out processes.
- Help resolve invoice discrepancies and support subcontractor or vendor request processing.
- Team Collaboration:
- Collaborate with field supervisors, project managers, and other team members to keep work moving forward.
- Assist with project close-out tasks and ensure documentation is complete and accurate.
- Office and Logistics:
- Manage office supplies, equipment needs, and material inventory.
- Handle mail, deliveries, and general office logistics.
- General Expectations:
- Demonstrate regular and reliable attendance.

Secondary Responsibilities:
- Support preparation and distribution of project schedules.
- Collaborate with the Safety Manager to coordinate site-specific safety plans.
- Review project drawings and specifications as needed.
- Communicate clearly and proactively with team members and clients.
- Attend project meetings and document action items and follow-ups.
Required Skills and Abilities:
- Proficiency in Microsoft Office (Outlook, Excel, Word), Bluebeam, Smartsheet, OneDrive, Teams, SharePoint, BIM360, and Viewpoint (Team and Vista).
- Strong organizational and time management abilities.
- Ability to work both independently and collaboratively in a fast-paced environment.
- High attention to detail and accuracy.
- Effective verbal and written communication skills.

Preferred Education and Experience:
- 0-2 years of related experience.
Required Licensing and Other Certifications:
- Maintain a valid driver's license and satisfactory driving record.
