Requirements
Responsibilities
Maintain confidential employee and compliance records, including DOT/FAA files, HRIS documentation, and accounting records.
Assist with recruiting, onboarding, badging, hearing tests, and scheduling pre-employment interviews.
Support DOT Random Drug and Alcohol Program compliance and documentation.
Coordinate with operational teams to align HR processes with fluctuating schedules and operational priorities.
Generate reports and correspondence to support management decision-making.
Leverage HR and administrative systems (iCIMS, Verified Credential, Excel, Costpoint, QuickBooks) efficiently.
Assist with special projects, audit-ready documentation, and overflow administrative tasks.
Provide support in operational or administrative areas outside HR as directed by management.
Perform other duties as assigned; work occasional overtime and remain flexible to meet operational needs.
Qualifications
High school diploma or GED; valid driver’s license; 18+ years old; U.S. citizen or work eligible.
Ability to maintain strict confidentiality and exercise discretion.
Fluent in English (read, write, speak, understand).
Strong organizational skills; ability to multitask, prioritize, and adapt to changing operational needs.
Proficient in MS Office and HR systems such as iCIMS and Verified Credential; familiarity with administrative software preferred.
Resourceful, proactive, and results-oriented.
Airport badge and US Customs clearance required.
Must pass pre-employment drug screen.
Preferred Qualifications
Prior HR or administrative experience, ideally in aviation or operational support.
Familiarity with DOT/FAA compliance, HR reporting, and administrative software (Excel, Costpoint, QuickBooks).
Experience in high-volume, fast-paced environments.
Physical Demands & Work Environment
Regularly sit and operate a keyboard/phone; occasionally reach, lift, or move up to 25 lbs.
Visual acuity for close, distance, peripheral, and focus adjustment.
Primarily office-based; may occasionally work in operational areas.
Compliance and Confidentiality
Handle sensitive employee and company information with discretion.
Ensure compliance with federal, state, and company regulations.
Maintain accurate, audit-ready documentation.
