Responsibilities
- Serve as main point of contact for benefit-related inquiries from employees and retirees via the case management system and Benefits mailbox.
- Act as a liaison between various functions and third-party administrators.
- Direct and/or inform employees and internal partners on basic details and requirements of various benefit plans. Resolve carrier and coverage issues.
- Manage billing and carrier invoice processing activities for benefit department, which include reviewing, analyzing, and providing recommendations for continuous improvement.
- Oversee the Global Mobility program and vendor relationship.
- Prepare general communication to employees, retirees, and other participants on a wide variety of benefit programs. Coordinate letters and mailings as needed.
- Create and maintain process documents and procedures related to various benefit processes. Recommend continuous improvement initiatives.
- Assist in the coordination of wellness and EAP activities and programs.
- Support Annual Open Enrollment, where we experience higher volumes in participant escalated issues, and must do frequent benefit administration vendor and carrier outreach. Travel to provide on-site support as needed.
- Review the data edits/changes files, such as the monthly pension file results, to verify demographic and compensation data passed to our vendors correctly per our audit controls.
- Manage the review of any regular weekly benefit processing, such as but not limited to, family status changes and supporting documentation for legitimacy.
- Manage the biweekly payroll remuneration audit of benefit deduction changes to verify accuracy between the benefit systems and our payroll system.
- Participate in internal and external audit requests, compliance filings, and other projects as requested.
Qualifications
This role is available at two different levels dependent upon education, experience, etc.
- Level I: Entry-level and a Bachelor's degree in Human Resources, 1+ years of related experience and a Bachelor's degree (any discipline), OR 2+ years of related experience and a High School Diploma.
- Level II: 2+ years of related experience and a Bachelor's degree in Human Resources, 3+ years of related experience and a Bachelor's degree (any discipline) OR 4+ years of related experience and a High School Diploma.
Special Knowledge, Skills and Abilities Required:
- High degree of proficiency in Microsoft Suite, with priority placed on the ability to do mail merges and Microsoft Excel sorting, filtering, VLOOKUP's, and formulas
- Exceptional organization, prioritization, and time management skills
- Professional demeanor and approach
- Strong written and verbal communications skills
- Ability to work independently with minimal supervision at times
- Proven ability to multi-task in fast paced environment
- Strong attention to detail, striving for highest level of accuracy
- Continuous improvement and critical thinking mindset
Experience (Preferred):
- Working knowledge of HR/benefit programs and administration
- Familiarity with benefit administration and HRIS systems
- Experience using a case management or ticketing system
