Description
Position SummaryAs an Assistant Property Manager (APM), you'll play a key role in supporting the efficient, high-quality operation of our client's retail property portfolio. Reporting to the Property Manager and Director of Property Management, you'll be a critical link between tenants, vendors, and internal teams-ensuring our properties run smoothly, tenants are supported, and processes are optimized.

Key Responsibilities
- Operational Support: Partner with Property Managers to oversee the daily operations of multiple retail properties, addressing tenant needs, coordinating maintenance, and ensuring timely project completion.
- Lease & Tenant Administration: Maintain the Yardi database by setting up new tenants, updating records, processing renewals, and managing vendor and W9 information.
- Financial Coordination: Collaborate with Accounting to process and code vendor invoices, track accounts receivable, and communicate tenant delinquencies. Engage directly with tenants to resolve payment issues and maintain positive relationships.
- Reporting & Analysis: Track and maintain tenant sales data, ensuring accuracy within the Total Sales Workbook. Assist in budget preparation by gathering proposals and supporting documentation.
- Tenant Onboarding & Move-Outs: Support all aspects of tenant transitions, including welcome materials, insurance documentation, utilities coordination, key exchanges, and property readiness.
- CAM Reconciliations: Coordinate annual CAM reconciliation and estimate letters, research inquiries, and prepare draft responses for review.
- Vendor & Compliance Management: Assist in coordinating lender, insurance, and vendor inspections. Work with the Office Manager to manage tenant certificates of insurance (COIs) and maintain compliance documentation.
- Process Improvement: Participate in organizational projects to streamline property management systems and centralize key information for the team.
- Collaboration: Work closely with Property Managers, the Asset Management Group, and other departments to support company goals and ongoing projects.
- Travel: Occasional travel required for property visits.
Qualifications
- Bachelor's degree
- 2+ years of experience in property management, commercial real estate, or a related field (retail experience a plus).
- Proficiency in Yardi or similar property management software.
- Strong organizational, analytical, and multitasking skills with sharp attention to detail.
- Excellent written and verbal communication skills.
- Proven ability to provide outstanding customer service and build strong professional relationships.
- Self-motivated, proactive, and capable of working both independently and collaboratively.
